Assigning Skill Levels to Staff Members Using the Skills Matrix
The Skills Matrix provides a view of staff members competence level in each core task and provides an estimate of the Productivity they can achieve when completing each task.
This helps managers identify training needs and to see which staff members are best to be loaned to or borrowed from another team to help with resourcing needs.
The Skills Matrix can be viewed at any level of the organisation to assess organisational flexibility and identify skills gaps.
To Access the Skills Matrix, select the Skill Levels to Staff Members link in the Add/Assign section of the Admin screen.
The Skills Levels to Staff Members screen will display the Staff Members linked to the selected workgroup and their skills in their home team tasks plus any additional tasks that have been assigned to them.
View By and Filter
When viewing the Skills Matrix, you can select to view by Staff Member or Core Task from the drop-down menu.
Viewing by Staff Member will display each Staff Member linked to the selected workgroup, you can then expand the data to view the skills they have in each Core Task.
Viewing by Core Task will display each Core Task linked to the selected workgroup, you can then expand the data to view the Staff Member skills in each task.
The Filters option allows you to refine the list of Staff Members or Core Tasks displayed.
Staff Member / Core Task
Displays the name of the Staff Members and Core Tasks the skill levels relate to.
Skill Level
Displays the Skill Level that has been assigned to the Staff Member for the Core Task along with a Red, Amber or Green status to highlight if the skill level indicates unskilled, developing or skilled competency in the task.
Skill levels and their associated RAG status are set by your organisation. During Skills Matrix configuration each Skill Level is assigned an estimated productivity score that would be achieved by an individual with that skill level as well as the Red, Amber or Green status to indicate competency.
Last Completed
Displays the date that the individual last captured work out for each task.
Team
Indicates if the Core Task is one linked to the Staff Members home team (Home) or is linked to another team (Away).
Average Skill Level
This value is calculated based on the total number or staff members multiplied by the total number of core tasks divided by the total number of ‘competent’ skill levels displayed.
To update the skill levels assigned to a Staff Member simply overtype the current skill level in the cell for the relevant Staff Member and Core Task.
Skill levels can only be entered as whole numbers and the minimum skill level a Staff Member can have is 0. The maximum depends on the configuration set by your organisation, but a warning message will be displayed if you breach the maximum possible skill level.
Any changes made will automatically save and the Individual Performance Dashboard updated to reflect the change in skill level in the month it was actioned.
If the Staff Member has built up skills in a task that is not linked to their home team you may need to add this task to their list to capture their skill level.
To add or remove tasks from a Staff Members list click on their name, this will prompt the Add/Remove Task dialogue box to open.
Staff Member Name
Confirms the name of the Staff member you are adding or unlinking tasks for.
Search
Allows you to refine the list of workgroups and tasks displayed. You can search by full or partial workgroup and task name.
Add Core Task
Allows you to add Core Tasks that are not linked to the Staff Members home team. When expanded the section will display all workgroups that you have access to.
Workgroup
When you first expand Add Core Task a list of workgroups will be displayed. You can add all tasks linked to this workgroup by selecting the checkbox next to the workgroup name.
Core Task
If you do not wish to add all of the tasks linked to a workgroup expand the workgroup data. This will allow you to select the task or tasks you would like to add by selecting the checkbox next to their name.
Add
Clicking the Add button will immediately add the tasks to the selected Staff Member, you can now update the skill levels for each of these tasks for the selected individual.
Remove Core Task
The Remove Core Task section will display a list of all the tasks linked to the staff member that are not linked to their home team. To remove a task, select the checkbox next to its name.
Remove
Clicking the remove button will immediately remove the task from the selected Staff Member along with their current skill level.
